Student Recruitment, Onboarding, Expectations & Policies

Successful student recruitment starts with building awareness of the opportunities available through the ACE Mentor Program. The most effective recruitment efforts combine strong school partnerships, engaging messaging, and personal outreach.

A Note on Student Safety & Enrollment

For the safety of students and to ensure compliance with ACE policies, students may not participate in any ACE Mentor Program activities, meetings, events, site visits, or other programming until their registration is complete and a signed parent/guardian consent form has been received and verified.

  • Highlight the Benefits: Exposure to real-world careers (AEC), hands-on projects, team learning, scholarship opportunities, college/career exploration, site visits, and leadership development.
  • Make Recruitment Personal: Use alumni, mentor, and teacher testimonials; follow up personally with interested students; invite prospective students to kickoff events.
  • Focus on Diverse Participation: Recruit across varied academic backgrounds and partner with organizations serving underrepresented student populations.

Strong school partnerships are key to reaching and engaging students. Affiliates should build relationships with CTE/STEM teachers, counselors, administrators, and other school contacts who can help promote the program, identify interested students, and support registration. Providing clear program information and easy-to-share recruitment resources helps schools connect students with ACE opportunities.with organizations serving underrepresented student populations.

A well-managed database is essential to successful student onboarding and accurate program records. Affiliates should ensure students are properly registered, required forms and information are collected, and participant records remain accurate and up to date throughout the program year. An important element to the registration process is collecting consent forms. The form needs to be filled out and signed by both the student and parent. See the video links below to provide guidance to students/parents.

Setting clear expectations helps create a safe, respectful, and productive experience for everyone involved. Affiliates should review student responsibilities, attendance expectations, appropriate conduct, communication guidelines, and applicable program policies at the beginning of the program. Clearly communicating these expectations helps students understand their role, supports accountability, and creates a positive environment for students and mentors alike.

Keeping Students Safe

Safety Best Practices

The safety and well-being of participants is our top priority. Always maintain appropriate mentor-to-student supervision, conduct meetings in professional/observable settings, keep accurate attendance logs, and ensure PPE is worn on construction site visits.

Before You Go: Make sure students and mentors understand the visit schedule, safety expectations, appropriate attire, and any site restrictions. Plan every student visit with safety, supervision, and clear expectations in mind. Review site-specific requirements with students and mentors before arriving.
